How to ‘add to calendar’

To add your flight details to your Outlook or Google calendar (or any other application that supports iCalendar), all it takes is two simple steps:

1. Retrieve your booking using your kulula booking code and last name at www.virtuallythere.com/kulula	2. On the right of your itinerary click on ‘add to calendar’

Besides the ability to add your flight details to your calendar, Virtually There ® is also your one stop to get flight updates, check the weather at your destination, print your e-receipt and email your itinerary.

flight changes and cancellations

It’s easy to change a booking online. As long as your flight is not departing within 24 hours simply click on the ‘manage booking’ tab here and make the change. For flights departing within 24 hours and more than 2 hours prior to departure call our Contact Centre on 0861 KULULA (585852) with your booking code.

combo booking changes

If you’ve hired a car or booked accommodation with your flight you should call our Contact Centre 0861 KULULA (585852) with your booking reference code.

name changes

Name changes are not allowed on your flight booking, only name corrections.

change fees

In addition to the difference in cost between the old fare and the new flight fare available, the fees for changing a booking vary depending on the type of ticket you bought.

kulula bookings – between R171 and R342 per person per flight
kulula flexi fares – no fee
British Airways (operated by Comair) restricted fares - R342
British Airways (operated by Comair) semi-flexible fares - R171

Note:

Changes made through our Contact Centre carry a R80 service fee per person per trip
All fees include VAT
The difference in price between flights will be calculated at the time of change

cancellations

There is a 100% cancellation fee to cancel a flight booking (subject to the ticket type you purchased). Call our Contact Centre 0861 KULULA (585852) with your reference code to cancel your booking.

missed flights

Missing your flight also means your return flight and any onward flights become automatically cancelled. Don’t lose out. To change your flight and reconfirm your return and any onward flights, call our Contact Centre 0861 KULULA (585852) as soon as possible with your booking reference code.

British Airways bookings

If you’re flying British Airways (operated by Comair), go to ba.com to view your travel itinerary and make changes. Access your details with your last name and British Airways reference number which you’ll find on the travel reservation PDF emailed with your flight confirmation.

extra bags

Extra bags can be added up to 2 hours prior to your flight departure. You can easily purchase extra bags online for your kulula or British Airways (operated by Comair) flights using a credit card. Alternatively, if you don’t have online access you can call our Contact Centre 0861 KULULA (585852) at least 24 hours prior to departure.

Cost of an extra bag for domestic flights is R245 when purchased online or through the contact centre. Additional pieces checked in at the airport will cost R350.

pre-paid seats

For R35 (incl. VAT), before you even check in you can select your preferred seat in advance. Select a seat with a view of the clouds, up close to the pilot or at the back of the plane. Window, aisle or middle – it’s your choice. To add a pre-paid seat, go to ‘add flight extras’ with your booking code.

travel insurance

From just R26 per person per flight you can protect yourself from those unforeseen traveller’s setbacks. Get peace of mind with travel insurance that covers you for personal accident and your covers your baggage against loss or damage. What’s more you get protection in the event of flight delays and cancellations.

Travel insurance is underwritten by ACE Insurance Limited. To add travel insurance to your kulula flight booking go to ‘add flight extras’ with your booking code.

British Airways flight extras

You can add flight extras to a British Airways (operated by Comair) booking after your confirmation email has been received.

Visit ba.com for information and fees for flight extras where you’re able to:

Add extra bags
Specify dietary requirements
Allocate pre-paid seats and more

Travel insurance can be purchased by calling ACE Insurance 0861 ACE INS (223 467) Mon - Fri 08h00 - 17h00.

Your unique British Airways reference number is attached to the travel reservation PDF emailed with your flight confirmation.

group changes and cancellations

group changes

Changes on the return flight have to be finalised no later than 2 weeks prior to departure. A cost of R200 (incl. VAT) applies to changes made on the return flight and are done only once we receive full payment.

Note:

Changes cannot be made on the first flight of the journey
Changes are only allowed for 10% of the group size and only on the return flight
Changes are not allowed to an entire group reservation
Changes are not allowed for bookings which consist of only one flight

To make changes to your group booking, call our Groups Department 011 921 0333.

group cancellations

Cancellations carry a fee depending on how far in advance the cancellation is made:

You’ve missed your flight, now what?

A missed flight is a ‘no-show’. A no-show means you lose the value of your entire ticket, including the return flight and any onward flights. If you arrive after check-in has closed you will not be able to board and any onward flights will be automatically cancelled.

Avoid losing out. If you are running late or are unable to make your original booked flight, you can rebook for a new flight and reconfirm your onward or return flights by calling our Contact Centre 0861 KULULA (585852). Alternatively you can change your booking online at least 24 hours prior to departure.

Check-in desks open 90 minutes before the scheduled time of departure of your domestic flight
Check-in desks close 30 minutes prior to scheduled departure
We strongly advise passengers to check in 90 minutes before flight departure

international check-in times

Check-in desks open 120 minutes before departure of your international flights
Check-in desks close 30 minutes prior to scheduled departure
We strongly advise passengers to check in 120 minutes before flight departure

flight name changes

name corrections

Corrections to traveller names are free to make, however, please check that your name details are exactly the same as what appears on your ID before going on to the next step.

Name corrections will be permitted in the following instances:

Spelling changes/spelling error corrections
Changes to last name due to marriage/divorce (with supplied proof)
Changes to titles and academic titles (e.g.: ‘Miss’ to ‘Mrs’; ‘Ms’ to ‘Prof’)
Swapping last names and first names around

If you’re flying with us to a local kulula destination, follow these easy steps for hassle-free check-in:

Go to the home page and click on the ‘check-in online’ tab
Select ‘check in now’
Read the baggage security questions, tick to confirm acceptance, then click ‘accept and proceed’
Fill in your name, departure city and booking code. Press ‘continue’
Indicate the type of traveller you are; male, female or child
You can either check in or select a seat. To select a seat, click on the ‘select seat’ tab and choose your preferred seat free of charge. Otherwise, go straight to check-in
Print your boarding pass or email it to your preferred address. You can also get your boarding pass printed at the self-service kiosks or check-in counters

You’re done! Enjoy your flight.

what you need to know

Check your flight numbers before proceeding to the correct counters. ‘MN’ means proceed to the kulula counters, and ‘BA’ means proceed to the British Airways counters
You’ll need your green ID book, driver’s license or passport to check in
You can only check in 24 hours before departure and up to 2 hours prior to the flight
Seats may change if there is an aircraft change
Pre-print your boarding pass, either before you leave for the airport or at the airport
Be at the airport at least 90 minutes prior to departure
Drop your bag at the bag drop-off zone at least 30 minutes prior to departure for domestic flights and 40 minutes prior to departure for international flights before going through security
Bags will not be collected 30 minutes prior to departure
